Ivy Booking (“we”) is a booking system for DJs and other artists. This page says what we keep about you, why, who sees it, and how to have it removed. Write to support@ivybooking.com with any question.
What you give us. Your name, your phone number and your email address, and the details of your event: its name, its date and set length, whether it is in the day or at night, its venue and town, and its country.
Why. So the artist, and the people who manage the artist's bookings, can answer you, agree the set time with you, send you an invoice, and confirm your booking.
Who sees it. Only the artist you asked, the artist's manager, and the agency that looks after the artist at the time of your booking. Another artist never sees it. We never sell it, never use it for advertising, and never pass it to anyone else. The Ivy Booking team cannot see it.
The emails you get. About your request and your booking only: that we have it, its price and invoice, that it is confirmed, and any change to it. Each comes from bookings@ivybooking.com in the artist's name. When someone on the artist's team writes to you, your reply goes to them.
Your own page. Each request has a private page, reached only through the link in your emails. It closes once your booking is confirmed, declined, withdrawn or cancelled.
Keeping the form safe. When you send the form, a security service checks that a person is sending it. We also keep your internet address, scrambled so it cannot be read.
How long we keep it. As long as the artist needs it for your booking, their records, and tax. We do not delete it by ourselves, because a booking is a service you are buying.
What we keep. Your name, email address and password (stored only in a form that cannot be turned back into it), your role, the settings you choose, your two-step sign-in if you turn it on, the bank details you put on invoices, and, if you allow notifications on your phone, a code that lets us send them.
Why. To let you sign in, show you only what your role allows, send your invoices, and tell you about your bookings.
Phone notifications are delivered by Google's Firebase service. It receives the code for your phone and the words of each notification, and nothing else.
You can ask for your phone number, and any message you wrote, to be removed from every booking you made with an artist. We remove them once we have checked the request. Your name and email stay, because they are on invoices and records the artist must keep. Your bookings, their fees and payments stay too.
Ask for your details to be removedTo ask what we hold about you, write to support@ivybooking.com.
We use only the cookies the site needs to work: to keep you signed in, to protect forms from misuse, and to limit how often one device can send a booking request. No advertising or tracking cookies, and no analytics.
On our servers in Singapore, run by Namecheap. Every connection is encrypted. Backups are made twice a day, locked with a password, and kept for 15 days. Passwords are never stored in a readable form.
If we change it, the date below changes.
